Admin Portal overview
Find your way around the RandomCoffee Admin Portal, from Home and Programs to People, Content and Settings.
The Admin Portal is where you set up and run RandomCoffee for your organization. This article walks you through each part of it.
Find your way around
The menu on the left gives you access to the main sections: “Home”, “Analytics”, “Programs”, “Broadcasts”, “People” and “Content”.
The header, at the top of the page, holds the search, your notifications, the settings (gear icon) and your profile. The “View as member” button shows RandomCoffee as your members see it, in the members portal.
Home
Home is the first page you see when you open RandomCoffee as an admin. It helps you get started and keep an eye on your workspace:
- a checklist of the essential steps to get the most out of RandomCoffee (“Things to check to get started”);
- key figures, such as your running programs and the date of the next session;
- your programs, with their status and upcoming sessions;
- programs suggested from the Use Cases Library;
- shortcuts to go further with your setup (custom domains, HRIS, Single Sign-On…);
- help resources: “Talk to our experts!” and this knowledge base.
The exact layout of Home can vary from one workspace to another.
Analytics
“Analytics” gives you the results of your programs: key figures, participation over time and statistics per program. See Dashboard for the details.
Programs
The “Programs” menu has three sections.
All programs
All your programs, filtered by status. Each program shows a tag with its type, for example “Coffee meetup” or “Mentorship”.
Coffee meetup programs are available on every plan. Mentoring programs require the mentoring add-on: see Plans and the mentoring overview.
Use Cases Library
Ready-to-use program templates. Browse them and use the ones that fit your needs: you can customize everything when you create your program. For inspiration, see program ideas.
Planning
All the sessions of all your programs, at a glance. See View all sessions.
Broadcasts
All your broadcasts, the communications you send to your members. You can filter them by status: “Draft”, “Scheduled” or “Sent”.
People
The “People” menu has five sections.
All members
This is a key section: from here, you manage your members, add new ones and change their status. See Members and profiles and Ways to add members.
Audiences
Groups of members that you can target in your programs. See Audiences.
Categories
Labels or profile information attached to each member, such as their city or department. See Categories.
Invites
The people you invited by email with the “Send an invite link” option appear here, with the status of their invitation. See Invite members.
History
The complete history of changes to your member list, with the date and the administrator: CSV uploads, HRIS and API imports, Slack and Microsoft Teams syncs, members added or updated manually, and bulk activations, deactivations and deletions.
Content
The “Content” menu has four sections.
Notes
Your knowledge library. See Notes.
Forms
All your forms. See Create a form.
Templates
The email templates of your programs and broadcasts, once created. You can create a new template, edit and preview existing ones.
Assets
All your email assets (pictures, logos). You can preview an asset, copy its link or delete it, and sort your assets into folders.
Settings
Open the settings with the gear icon in the header, at the top right of the app. To come back to the Admin Portal, click “Exit settings”.
General
Change your organization name (“Team name”), your workspace link and the default language of your workspace. Members can choose another language for their own account.
Branding
Customize how your workspace looks for your team: your logo, shown in your emails, your service pages and the app, and your colors, applied to the app. See Branding.
Sending domains
By default, emails are sent by “RandomCoffee” from juliette@random-coffee.com. Add your own domain to choose the “from” and “reply-to” names and addresses of each program. See Sending domain.
Whitelisted domains
Choose the email domains allowed in your workspace, for example your organization’s domain. Once you add a domain, only people with an email address from your allowed domains can sign up with your invite link or receive an email invitation. You can add several domains. With no domain in the list, every address is accepted.
Team permissions
Choose what each administrator can do. See Admin permissions.
Configuration
Advanced settings for your integrations and security:
- Microsoft Teams and Slack integrations
- HRIS and Workday integrations
- SCIM provisioning
- Single Sign-On (SSO)
- Two-factor authentication (2FA)

Some of these settings depend on your plan. When a setting is not included in your plan, its card is greyed out and shows an “Upgrade” tag.
