Active and inactive members

Learn when a member is active or inactive, what changes for inactive members, and how to activate or deactivate members.

How it works

By default, all members are active: they can be invited to RandomCoffee sessions.

A member becomes inactive when:

  • an admin deactivated them;
  • they were deactivated in your identity provider, if you use SCIM provisioning;
  • they unsubscribed from RandomCoffee;
  • their email address is wrong (the email bounced).

What happens when a member is inactive:

  • They are left out of your programs: they are not invited to sessions and are not matched.
  • They do not affect participation rates.
  • They still appear in past metrics and KPIs.
  • They can be reactivated at any time, and their matching history is kept.

Broadcasts go to everyone in their audiences. To reach active members only, add a “Status” filter to the audience of your broadcast (see Create a broadcast).

If your members are synchronized with your HRIS, the members who were already in your member list before the synchronization keep their current status. For example, your inactive members stay inactive even if they are in your HRIS.

Check a member’s status

Open “People” > “All members”. The “Status” column shows whether each member is “Active” or “Inactive”.

By default, the list only shows active members: the filters at the top of the list start with the condition “Status” “Is equal to” “Active”. To see inactive members too, change this condition to “Inactive” or remove it, then click “Search”.

Deactivate members

  1. Select the members.

    In “People” > “All members”, find the members (search or filter the list), then tick the box next to each name.

  2. Open the “Actions” menu.

  3. Click “Deactivate members”.

    The members are deactivated right away. The list may take a few moments to update.

To deactivate many members at once, use a file: see Update members.

Activate or reactivate members

  1. Show the inactive members.

    In “People” > “All members”, change the “Status” filter to “Inactive” (see Check a member’s status).

  2. Select the members.

    Tick the box next to each name.

  3. Open the “Actions” menu and click “Activate members”.

  4. Confirm with “Yes, I’m sure”.

    The members are included again in your active programs. If a session is open, they are invited to it.

Reactivating a member who unsubscribed also cancels their unsubscription: they receive RandomCoffee emails again. Make sure they want to take part again before you reactivate them.

You cannot deactivate or reactivate yourself. If an action is greyed out in the “Actions” menu, your admin permissions do not include it.
