Notes

Write rich resources such as guides, policies and FAQs, share them with the right people, and add them to your programs as resources.

Notes let you create polished, richly formatted resources: onboarding guides, company policies, FAQs, how-tos and more. Share them with your whole organization or with specific audiences: notes become the knowledge library of your workspace.

Each published note has its own link, which you can share anywhere: in a broadcast, in a form, or in your program messages. For example, if you need a GDPR notice in your opt-in and match emails, write it as a note and add its link to your messages. You can also attach notes to a program, so that participants find them as resources.

Create a note

  1. Open your notes.

    In the menu, go to “Content” > “Notes”.

  2. Start a new note.

    Click “Create note” (or “Create your first resource” if you have none yet). Enter its “Name”, then click “Create”. The name identifies the note in your list.

  3. Write your note.

    The editor opens. Write your content as explained below, then click “Save”.

Write your note

The editor works like a word processor. Start with the title (“What’s the title?”), then write your text below (“Start writing…”). The toolbar lets you:

  • structure your content with headings, bulleted and numbered lists and blockquotes, so that it is easy to scan;
  • format text in bold, italic, underline, strikethrough or highlight, and align it;
  • add links, tables and images;
  • undo and redo your changes.

To give your note a polished look:

  • Cover image: RandomCoffee adds a cover image when you create a note. Hover it to “Change cover”, “Reposition” it or “Remove cover”.
  • Colors: click the “Customize colors” icon at the top right of the editor to set the theme, font and colors of the page your readers see.

Click “Save” at the top right to save your changes. Until you publish it, your note is a draft that only admins can see.

Publish and share your note

  1. Open the publishing settings.

    In the editor, click the “Publish & share” icon at the top right, next to “Save”.

  2. Choose who can access the note.

    • “Public”: anyone with the link;
    • “Everyone in my workspace”: only the active members of your workspace;
    • “Specific email domains”: only people with an email address on the domains you list;
    • “Specific audience”: only the members who match one of the audiences you choose;
    • “Password protected”: anyone with the link who also has the password.
  3. Click “Publish”.

Once the note is published, a link icon appears at the top right of the editor: click it to copy the link of the note.

You can change these settings later, the same way. Readers get the same checks as for a form: email verification with a code, or the password. See Who can answer and What respondents see.

Use audiences to make a resource available to specific teams only, by department, location or any category of your members. See Create an audience.

Add notes to a program

Attach notes to a mentoring program to give its participants the resources they need, for example a mentoring guide or an FAQ. Program notes come with mentoring programs.

  1. In the settings of your program, open “Communication” and find the “Program notes” section.
  2. In “Search for a note to attach…”, select a note. Add as many notes as you need.
  3. Save your program.

Next to each attached note, you can preview it, edit it or remove it from the program.

Participants find the attached notes in a “Resources” section, with a “View” link:

  • on the registration page of the program, with open enrollment;
  • on their mentoring page, once they are matched.

Publish your note before you attach it: a draft note has no link, so participants cannot open it.

See Program notes for the setup of a mentoring program.

Manage your notes

“Content” > “Notes” lists all your notes. Filter them with “All notes”, “Drafts” or “Published”, and sort them by last update, creation date, name or status.

The three dots at the end of each line give you:

  • “View details”: opens the note in the editor;
  • “Duplicate note”: creates a draft copy, named “(Copy)” followed by the original name. Use it to reuse an existing note as a template for recurring content;
  • “Delete note”: removes the note from your list, after confirmation.

To rename a note, open it and click the three dots next to its name.
