Set up RandomCoffee in the Teams Admin Center
Allow the RandomCoffee app in your Microsoft 365 tenant, make it available to your users and pre-install it with a setup policy.
This guide is for Microsoft 365 and Microsoft Teams administrators. It explains how to allow the RandomCoffee app, make it available to your users and, optionally, pre-install it for them.
You need the Teams Administrator or Global Administrator role, and access to the Teams Admin Center.
Unified app management. Microsoft has replaced the former app permission policies with unified app management. App access is controlled from the “Manage apps” page (the “Availability” setting), not from permission policies. If your tenant still shows permission policies, both approaches work, but the steps below use the current model.
Step 1: Allow the RandomCoffee app
- Go to the Teams Admin Center, then “Teams apps”, then “Manage apps”.
- In the search box, type
RandomCoffee. - Open the app and check its “App status”. It must be “Allowed”, not “Blocked”. If it shows “Blocked”, select the app and choose “Allow”.
If the app is blocked, users can still see the messages RandomCoffee has already posted, but the buttons in them (for example “Yes, I’m in”) do not work.
Step 2: Make RandomCoffee available to your users
Availability controls who is allowed to install and use the app.
Make it available to everyone (recommended)
- In “Manage apps”, search for RandomCoffee and open it.
- Go to the “Users and groups” tab.
- In the drop-down list, select “Availability”.
- Choose “Available to everyone”.
Make it available to specific users or groups
- In “Manage apps”, open RandomCoffee, then the “Users and groups” tab, then “Availability”.
- Select “Specific users or groups can install”.
- Click “Edit availability” and add the users or security groups that should have access.
Only the users and groups listed here can use the app. If you restrict availability, make sure everyone who should take part in RandomCoffee is included.
Step 3 (optional): Pre-install RandomCoffee for your users
By default, users add the app themselves. To push it so that it is already there for them, use an app setup policy.
- Go to “Teams apps”, then “Setup policies”.
- Select “Add” to create a new policy, or edit the global (org-wide default) policy.
- Under “Installed apps”, click “Add apps”, search for RandomCoffee and add it.
- Save the policy.
- Assign the policy to the relevant users or groups (with a group policy assignment or per user).
Propagation delays
Changes in the Teams Admin Center are not instant. Allow up to 24 hours for changes to the app status, availability or setup policies to apply across all clients. To speed things up on a specific device, fully quit and restart Teams, or sign out and back in.
Quick checklist
- App status is “Allowed” (“Manage apps”).
- Availability is set to everyone, or to the right users and groups (“Users and groups” tab).
- Optional: a setup policy includes RandomCoffee and is assigned.
- You waited for propagation, or restarted Teams.
Troubleshooting
“This bot is disabled. Contact your IT admin for more information.”
When members click a button in a RandomCoffee card (“Schedule your meetup”, “Start a chat”, “Start a call”, or the opt-in buttons), Teams may show this error under the card:
The issue is on the Microsoft Teams side: it comes from how the RandomCoffee app is installed or configured in your Teams environment (app status, availability for these users, setup policies). Go through the three steps above and the quick checklist for the affected users.
Still not working?
If RandomCoffee still does not appear or work after these steps and the propagation delay, contact support@random-coffee.com with your tenant name and the affected users.
