Dashboard
Follow the results of your programs in one place, from your overall figures and participation over time to the statistics of each program and your most active members.
The dashboard brings all your RandomCoffee statistics together in one place, so you can see how your programs perform and where to act. Open it with “Analytics” in the left menu, just below “Home”.
It has four sections: “Overall KPIs”, “Participation”, “Programs Stats” and “Top Randomers”.
To see the dashboard, an admin needs the “Can access overall metrics dashboard” permission. To export data, they need “Can export data (top randomers, session results)”. If an admin only manages some programs, the figures cover those programs. See Admin permissions.
Overall KPIs
Three figures sum up your whole history, across all your programs and sessions:
| Figure | What it counts |
|---|---|
| “Members” | The number of different members who received at least one invitation to a session. |
| “Participation” | The average participation rate: the invitations accepted, divided by all the invitations sent, over all your history. |
| “Connections created” | The number of matches generated (pairs or groups of three, four or more, depending on your programs’ settings). |
“Members” and “Participation” only count sessions that sent invitations or matches to your members: upcoming and cancelled sessions are left out. “Participation” does not include deleted programs.
The figures are recalculated automatically each time a session sends its invitations or its matches. Below them, “Last updated” shows when they were last calculated: click “Refresh” to calculate them again at any time.
Participation
This section shows how participation evolves over time. It has two views.
Total
The graph shows, month by month:
- “Users reached”: the total number of invitations sent in all programs;
- “Participants”: the total number of invitations accepted.
These are cumulative totals of invitations and participations, not numbers of people. For example, if a member is invited and takes part three times in the same month, they count three times in “Participants”.
By category
This view breaks participation down by the values of a category, to spot trends: for example, participation by department or by location. Choose the category in the drop-down list next to the period.
For each value, the bar shows the share of invitations accepted (“Participated”) and not accepted (“Did not participate”). As in the “Total” view, a member invited several times counts once per invitation.
The “By category” view only uses categories of the Dropdown type. It appears once you have at least one: see Categories.
Filter the graphs
- Change the period: pick a start date and an end date, or a ready-made range: “Last 30 Days”, “Last Month”, “Last 6 Months” or “Last 12 Months”. By default, the graphs show the last 6 months.
- Filter by program: click the filter icon and select one or several programs in “Filter programs”. The number of selected programs appears on the icon.
Programs Stats
This table shows the statistics of each program. Use the tabs to see “All” your programs, the “Running” ones or the “Inactive” (paused) ones: the number of programs of each status is shown in the tab. Deleted programs are not shown. See What is a program? for the statuses.
For each program, you find:
| Column | What it counts |
|---|---|
| “Total reach” | The number of different members invited to at least one session of the program, over its whole history. |
| “Opt-in Rate” | The invitations accepted, divided by all the invitations of the program. |
| “Number of RandomCoffees” | The number of matches generated by the program. |
Export a program’s results
Click “Export” on the row of a program and choose a report. The file (Excel format) is sent to your email address.
- “Summary report”: the program name, its objective, the number of opt-ins, the number of sessions, the unique opt-ins, the number of RandomCoffees, the total reach and the opt-in rate.
- “Detailed report”: one line per invitation, with the member’s email, first name and last name, their opt-in or opt-out date, the session, the match date, their number of RandomCoffees in the program and in your workspace, and their category values.
- “All raw matches”: a very complete export of all the matches, useful to investigate an issue for example.
See each session
Click ”+” in front of a program to see its sessions history. For each session, you find:
- “Round”: the session number;
- “Match date”: when the matches were sent;
- “Reach”: the number of members invited to the session;
- “Opt-ins”: the number of members who accepted;
- “Opt-in rate”: the opt-ins divided by the reach;
- “Matchs”: click “Download” to receive the matches of this session by email.
Top Randomers
Who are your most active members? The “Top Randomers” list ranks your members by “Number of matchs (overall)”, the number of matches they took part in, across all your programs.
- Search for a member with “Search member”.
- Click a name to open the member’s profile.
- Click “Add to Audience” to add the member to an audience.
- Click “Export full list” to receive the complete list by email.
Engage your Top Randomers and let them contribute to the success of RandomCoffee in your organization. For example:
- award them a certificate of participation;
- feature them in your company newsletter or on your intranet, with a short profile and their story;
- give them company merchandise, such as T-shirts, mugs or notebooks;
- recognize them publicly at a team event;
- invite them to exclusive networking events with company leaders.
Results of a single program
Each program also has a “Results” tab, with the same information limited to that program:
- “Participation”: the “Users reached” and “Participants” graph, with its own period;
- “Stats Per Session”: the sessions table described above;
- “Top Randomers”: the most active members of the program, with “Export full list”.
Mentoring programs have their own “Results” tab, with milestones, skills and mentor ratings: see Mentoring sessions and matches.
