Your mentoring page

Open the shared page of your mentoring pair, book a meeting for each milestone, take notes together and track your progress.

When your organization runs a mentoring program, you are paired with a mentor or a mentee. Your pair then shares a mentoring page: your profiles, the milestones of your journey, your meetings, your notes and the resources of the program, all in one place.

Join a mentoring program

Your admin chooses how people join the program:

  • You are added by your admin: you have nothing to do. If the program asks for participation, you receive an invitation before each session. After you accept it, a “Tell us about yourself” button can ask you a few questions to find you the best match.
  • You join with a link: open the link shared by your organization. On the registration page, click “Register now” and fill in the registration form. If the program has no form, click “Register”, enter your first and last name, and verify your email address with the code you receive.

When you are matched, you receive a match message by email, in Slack or in Microsoft Teams, depending on your program. It introduces your mentor or your mentee, and usually has a button to open your mentoring page.

Open your mentoring page

  1. Click the button to your mentoring page in your match message.

  2. If you are not signed in to RandomCoffee, the page asks you to verify your email address: “Verify your email to continue”. Enter the email address you received the link on, then click “Send code”.

  3. You receive a 6-digit code by email. Enter it, then click “Verify”.

If the code has expired, click “Send code” again to receive a new one. If you verify with another email address, the page shows “Access denied”: use the address you received the link on.

What you find on the page

Who’s in

The members of your pair, with their role (“Mentor” or “Mentee”) and their email address. Mentors and mentees see the same page and can do the same actions.

  • “See profile” shows the person’s profile, with the information your admin chose to share, such as their department or their skills.
  • “Send a message” opens an email to the person.

Session Plan

The milestones of your mentoring journey, defined by your admin, for example “Getting to know each other”, “Setting your goals” or “Wrap-up and next steps”. The progress bar shows how many milestones you completed.

Each milestone has a status:

  • “Not yet booked”: no meeting is planned yet;
  • “Booked”: a meeting is planned, with its date;
  • “Completed”: the meeting took place.

Need an extra meeting? Click “Add a session”, give it a name, then click “Add”.

Resources

The notes your admin shared for the program, such as a mentoring guide or an FAQ. Click “View” to read one.

At the bottom of the page, “Contact your administrator.” sends an email to the contacts of the program, if you have a question.

Book a meeting for a milestone

  1. On the milestone, click “Book meeting”. The “Book a meeting” window opens.

  2. Check your timezone, choose a day, then a time. The times offered take into account the availabilities of the members of your pair.

  3. In “Confirm your meetup”, you can add a note in “Additional note to attendees (optional)” and invite other people with “Add new guests”. Click “Confirm”.

All attendees receive a meeting invite by email. The milestone shows “Booked”, with the date.

To change the date, click “Reschedule”. To cancel the meeting, open the ”…” menu of the milestone and choose “Cancel booking”.

Open a milestone

Click a milestone to open its page:

  • “Session Description”: the goal of the meeting, written by your admin.
  • “Shared Notes”: a space shared with the members of your pair. Everyone can add notes and feedback, and they are saved automatically.
  • “Session Feedback”: if your admin attached a feedback form, click “Fill Session Feedback” to answer it.

Mark a meeting as done

Once the meeting took place, open the ”…” menu of the milestone and choose “Mark as done”. RandomCoffee logs your progress and asks “How was this session?”: rate it, and fill in the feedback form with “Start Session Feedback” if there is one. Click “Back to match” to return to your mentoring page.

The milestone now shows “Completed”. From its ”…” menu, “Rate session” lets you rate it later, and “Undo” sets it back to not done.

Your admin follows the meetings booked and completed, and the ratings, to improve the program. Marking your meetings as done helps them.
