Setting up RandomCoffee in the Microsoft Teams Admin Center (IT admins)

This guide is for Microsoft 365 / Teams administrators. It explains how to allow the RandomCoffee app, make it available to your users, and (optionally) pre-install it automatically.

You'll need the Teams Administrator or Global Administrator role, and access to the Teams Admin Center.

  • Good to know: "Unified app management"

Microsoft has replaced the old App permission policies with unified app management. App access is now controlled directly from the Manage apps page (the Availability setting), not from permission policies. If your tenant still shows permission policies, both approaches work, but the steps below use the current model.

# Step 1: Allow the RandomCoffee app

1. Go to the Teams Admin CenterTeams appsManage apps.

2. In the search box, type RandomCoffee.

3. Open the app and check the App status column/field:

- It must be Allowed (not Blocked).

- If it shows Blocked, select the app and choose Allow.

> If the app is Blocked, users can still see previously posted messages but interacting with the buttons (e.g. Yes, I'm in) will fail.

#Step 2: Make RandomCoffee available to your users

Availability controls who is allowed to install and use the app.

Make it available to everyone (recommended)

1. In Manage apps, search for RandomCoffee and open it.

2. Go to the Users and groups tab.

3. In the dropdown, select Availability.

4. Choose Available to everyone.

Make it available to specific users or groups

1. In Manage apps, open RandomCoffee → Users and groups tab → Availability.

2. Select Specific users or groups can install.

3. Click Edit availability and add the users or security groups that should have access.

> Important: Only the users/groups included here will be able to use the app. If you restrict availability, make sure everyone who should use RandomCoffee is included.

# Step 3 (optional): Pre-install RandomCoffee for your users

By default, users add the app themselves. To push it automatically so it's already there for them, use an App setup policy.

1. Go to Teams appsSetup policies.

2. Select Add to create a new policy (or edit the global/org-wide default).

3. Under Installed apps, click Add apps, search for RandomCoffee, and add it.

4. Save the policy.

5. Assign the policy to the relevant users or groups (via Group policy assignment or per user).

# Propagation delays

Changes in the Teams Admin Center are not instant. Allow up to 24 hours for allow/availability/setup-policy changes to fully apply across all clients. To speed things up on a specific device, fully quit and restart Teams, or sign out and back in.

# Quick checklist

  • App status = Allowed (Manage apps)

  • Availability = Everyone or the right users/groups (Users and groups tab)

  • (optional) Setup policy: includes RandomCoffee and is assigned

  • Waited for propagation / restarted Teams
