RandomCoffee has been designed to foster connections and networking within organizations by matching members for virtual or in-person (coffee) meetings. There are hundreds of different reasons and use cases that motivate organizations to leverage RandomCoffee, but all have one ultimate goal: open up new opportunities for each one of you.
What experience should you expect, as a participant?
Typical workflow
JOIN THE INITIATIVE | Depending on how your Admin configured the account, you may be automatically added to the RandomCoffee platform (if not, you will be asked to join it by filling a form provided by your Admin). Most of the time, you'll receive a Welcome message (by email or Slack or MS Teams, depending on the settings configured by your Admin).
RECEIVE OPT-IN / MATCH MESSAGES | Then, you may be invited to several programs, if the audience defined by your Admin matches with your profile. When a session is planned for a specific program,
you may receive an "opt-in message", asking you whether you want to join the next round or not. If you accept, you will receive a second message, the "matching message", including the details of your match(es).
or, if your Admin chose the "automatic participation" setting, you may only receive the "matching message" at a date defined by your Admin.
SCHEDULE YOUR COFFEE | Then, it's up to you to schedule your coffee/meeting with your match(es), ideally within a week.
MEET! | Meet your match(es), either virtually or in-person, and engage in meaningful conversations!
Communication channels
Depending on your Admin's configuration, you may receive the RandomCoffee messages via: Email, Slack, or MS Teams.
Email
Welcome email
By default, a Welcome email is generally sent to new members who are joining the RandomCoffee platform (but your Admin may deactivate this option).
There are two types of Welcome emails, depending on the settings done by your Admin.
OPTION 1 • If your Admin activated the Member Portal Access, you should receive an email inviting you to register to the RandomCoffee platform.
By clicking on "Get started", you will be redirected to a page to set a password for your RandomCoffee account.
Once you set your password, you will be invited to login.
You can now access your Member Portal! 🥳
In the meantime, you will also receive an email welcoming you to your Member Portal:
OPTION 2 • If your Admin deactivated the Member Portal Access, you should receive an email presenting you the RandomCoffee initiative, like the following one:

Receiving opt-in messages
Opt-in messages are sent to you by the RandomCoffee bot in Slack for each program you are part of.
You can either:
opt-in for the session, by clicking the "Yes, I'm in" button
opt-out for the session, by clicking the "Not this round" button
Getting matched
Your match message will be sent by the RandomCoffee bot, in a conversation including (all) your match(es).
You can then engage the conversation with your match(es) to plan your coffee! ☕️

Team public tab
Associating a RandomCoffee program to a team automatically creates a public tab in the team. As a member of the team, you will have access to essential information about the program and its activity, such as:
The context and the goal of the program
The schedule of the program with upcoming sessions
The overall participation chart across time
The Top Randomers of the program

Once the RandomCoffee app is installed in a team, The RandomCoffee bot posts a welcome message in the general channel in order to introduce RandomCoffee to all team members:

Receiving opt-ins and matches cards
You will receive the opt-ins and matching card through private chat message. They will be sent by the RandomCoffee bot.
For opt-ins, you will have the choice to accept or not the proposition to get matched in the current session. Here is an example of an opt-in card:
If you accept to be matched, you will receive a matching card in a secondary time (according to the schedule defined by your Admin) where they discover your match(es):
Multiple actions are possible from the matching card:
Start a chat - opens a direct chat with your match(es)
Start a call - launches a video call with your match(es)
Schedule your meetup - generates a native microsoft/outlook meeting with your match(es)
Chatting with the bot
You can directly interact & chat with the RandomCoffee bot and access several prompts:
Help - explains what RandomCoffee does and provides help / support
Feedback - enables to send a message to the RandomCoffee team
Snooze - enables to temporary pause your participation for a defined time:
Personal space
In addition to all interactions and cards, you'll also have your RandomCoffee personal tab. The interface consists in 3 main tabs:
My activity: where can find all your RandomCoffee actions (such as: participating to a session, getting matched with someone new or being informed of upcoming/past sessions)
My network: where you can view your matching history to remember all people matched through RandomCoffee with context. From here, you can also restart a chat or book a new coffee meeting with a previous match:
My programs: where you can find a centralized view of all RandomCoffee programs you are involved in (from all teams) and retrieve the context of each program:
