Update multiple members at once with a CSV file upload

You can update multiple members' values at once, via a .csv file import.

Updated over 2 months ago

When you upload a new CSV file with members in RandomCoffee, the system enriches your existing database by adding or updating the information of the uploaded members.

However, it does not replace the current list of members.

This means any previously added members who are not included in the new file will remain in the database, ensuring that no data is lost during the process.

Download the list of members in .xls and edit it

  • In the "Members" panel, open the "All members" section.

  • Select all members by checking the box on the left of "Name".

  • Click on the menu and select "Export in .xls". Your members list is sent to you by email.

  • Open your .xls file and make any change you want.

Update values for existing members

Update values for existing members by changing the desired values in the file.

In the example below, the changed values are in blue.

Add new members

Add new members by adding new rows to the file.

In the example below, the changed values are in blue.

Add new categories

Add new categories by adding new columns to your file.

In the example below, the changed values are in blue.

If you don't know the values of this new category for all members, don't worry.

Leave it empty and it will be displayed as N/A in the members table.

Change members status to Active or Inactive

Change members status to Active or Inactive by indicating "TRUE" or "FALSE" in the "Is Active" column.

In the example below, the changed values are in blue.

Upload your updated file

If enabled, the option to "Send a welcome email" will only be applied for new users.

After uploading the file, you will notice that the members list has been updated based on the changes you've made to your file.

Note that if you're using the Slack or MS Teams integration, members are automatically synchronized. However, you can still import a .csv file to enrich your automatically synchronized members list with new categories for example.
