# Invite members

Invite people to join RandomCoffee by email or with an invite link, choose the fields of the registration form, and restrict sign-ups to your domains.

import { Steps } from '@prosefly/astro-components';
import Callout from '@components/Callout.astro';
import AddMembersInviteLink from '@components/app-screens/screens/AddMembersInviteLink.astro';
import InvitesList from '@components/app-screens/screens/InvitesList.astro';
import RegistrationForm from '@components/app-screens/screens/RegistrationForm.astro';

With this method, people choose whether to join RandomCoffee: you send them an invitation, and they sign up through a registration form.

## Invite people by email or with a link

<Steps>

1. **Open the invitation page.**

   In "People" > "All members", click "Add new members", then open the "Send an invite link" tab.

   <AddMembersInviteLink alt="The Send an invite link tab, with the email invitation field, the Invite members button and the invite link" />

2. **Invite specific people by email.**

   In "Invite people to join RandomCoffee by email", enter the email addresses of the people to invite (press Enter after each one), then click "Invite members". Each person receives an email inviting them to join. If they have not signed up one day later, RandomCoffee sends them a reminder automatically.

3. **Or share the invite link.**

   Under "Invite link:", click "Copy", then share the link where you want (email, intranet, chat...). Anyone who has the link can sign up and join RandomCoffee through the registration form.

</Steps>

The people you invited by email appear in "People" > "Invites", with the status of their invitation: "Pending" until they sign up, then "Joined".

<InvitesList alt="The Invites page, with one pending invitation and one joined" />

When someone signs up, they receive an email to confirm their address. They become an active member once they confirm it.

## The registration form

The registration form asks for the person's first name, last name and business email address, then one field for each [category](/admin/categories-and-audiences/categories/) you created.

<RegistrationForm alt="The registration form, with the First name, Last name and Business email fields, then the Department, Years of experience, City and Hobby categories" />

### Choose the visible fields

By default, all your categories appear in the registration form, in the order of your category list. To hide a category, turn on "Hide category to members:" in its settings, in "People" > "Categories". A hidden category does not appear in the form.

Categories synchronized from your [HRIS](/admin/members/sync-from-hris/) never appear in the form: their values come from your HRIS.

### Make fields required

By default, only the first name, last name and email address are required. To make a category required too, turn on its "Required :" option: see [Create categories](/admin/categories-and-audiences/create-categories/).

<Callout type="tip">
  **Want a program whose matching rules use values filled in by your members?**

  1. Set up your categories.
  2. Send an email that presents RandomCoffee and includes the invite link, and ask people to fill in their details for each category.
  3. Meanwhile, set up your programs with the right [matching rules](/admin/matching/matching-rules/).
  4. Plan your first sessions once your member list is up to date.
</Callout>

## Only accept people from your organization

With the invite link, anyone who has the link can sign up. To make sure only people from your organization join, add your **whitelisted domains**:

<Steps>

1. **Open "Settings" > "Whitelisted domains".**

2. **Click "Add domain", then enter your domain** in the format `@example.com`. You can add several domains.

3. **Click "Save".**

</Steps>

Once you have whitelisted domains:

- only people whose email address ends with one of these domains can sign up with the invite link;
- email invitations are only sent to addresses on these domains.

If you have no whitelisted domain, there is no restriction.
