# Form responses

Follow the answers of your form in real time, read each submission, export them, and turn the answers into member data with automatic enrichment.

import { Steps } from '@prosefly/astro-components';
import Callout from '@components/Callout.astro';
import FormSummary from '@components/app-screens/screens/FormSummary.astro';

As soon as answers come in, the results of your form update in real time. You can read them question by question or submission by submission, export them, and add them to your members' profiles to use them in your programs.

To open the results, go to "Content" > "Forms" and click the name of a published form. The form page has four tabs: "Summary", "Submission", "Share" and "Settings". The last two are explained in [Share a form](/admin/content/share-a-form/).

## Summary

The "Summary" tab shows one block per question, with the number of people who answered it. For each answer, you see its share of the responses (as a percentage) and its number of responses.

<FormSummary alt="The Summary tab of a form in the "Raw" view, with two single choice questions answered by 11 and 10 people, each answer with its bar, its percentage and its number of responses" />

At the top right, switch between two views:

- "Graph": a chart for each question with options, yes or no, country, rating or number;
- "Raw": the list of answers for every question, including text answers.

## Submissions

The "Submission" tab lists every submission in a table, the most recent first:

- "Submitted at": the date and time of the submission;
- "User": the member who answered, with a link to their profile, when RandomCoffee recognized them (see [What respondents see](/admin/content/share-a-form/#what-respondents-see));
- then one column per question, with the answer.

### Export the answers

Click "Export CSV" at the top right of the "Submission" tab. RandomCoffee prepares the file and sends it to your email address, as an Excel file.

## Turn answers into member data

Each question of your form can feed a [category](/admin/categories-and-audiences/categories/) of your members, and each answer becomes the value of that category on the respondent's profile. Use it to collect data you are missing, to update it, or to prepare the categories of your [matching rules](/admin/matching/matching-rules/).

Once set up, the enrichment is automatic: every new answer updates the respondent's profile.

<Steps>

1. **Open the enrichment settings.**

 In the "Submission" tab, click "Configure enrichment". The "Configure Enrichment Mapping" window opens.

2. **Map each question.**

 The mapping works like a [CSV import](/admin/members/add-members-manually-or-by-csv/). For each question, choose one option:

 - "Ignore this field": the answers are not added to the profiles;
 - "Map to existing category": the answers fill a category you already have, for example to complete missing data or update a category;
 - "Create a new category": choose the type of category that fits the data, and its name.

3. **Choose whether to send a welcome email.**

 Turn on "Send a welcome email (optional)" to send the welcome email to the respondents who are new to your workspace. It presents RandomCoffee and, if [Member Portal access](/admin/workspace-settings/member-portal-access/) is on, invites them to claim their account.

4. **Choose whether to enrich the answers already received.**

 If your form already has submissions, turn on "Enrich existing responses (optional)" to apply the mapping to them too.

5. **Click "Save".**

 From now on, new answers are added to your members' profiles automatically.

</Steps>

### What happens to respondents

- **Respondents who are already members** of your workspace: their profile is updated, or completed with the new information.
- **Respondents who are not members yet**: they are added as active members, with the information mapped from the form. To create them, RandomCoffee needs their verified email address, their first name and their last name: publish the form as "Public" or "Password protected", add an "Email verification" block, and map the questions that ask for the first and last name.
- **Respondents to the registration form of a program**: they also join the program. See [Registration](/admin/mentoring/create-a-mentoring-program/#registration).

<Callout type="note">
 RandomCoffee can only enrich the answers of respondents it recognized by their email address: verified email, or members signed in to RandomCoffee. With a "Public" or "Password protected" form, add an "Email verification" block to identify every respondent. See [Who can answer](/admin/content/share-a-form/#who-can-answer).
</Callout>

A category created from a form shows "Created from a survey" in "People" > "Categories". It is fed by the form, so you cannot edit it from the list of categories.

### Follow, edit or stop the enrichment

- **Follow it**: each enrichment appears in "People" > "History", as "Enriched from a form response".
- **Edit it**: click "Edit enrichment config" in the "Submission" tab. If you have removed questions used in the mapping, an orange dot appears on the button and the window shows "Form schema has changed": review the mapping, then save it again.
- **Stop it**: click "Edit enrichment config", then "Disable". New answers are no longer added to the profiles. You can turn it back on anytime.
